PublishFlow Privacy Policy and Terms of Service

This Privacy Policy explains how Write Stuff Enterprises, LLC ("Write Stuff," "Company," "we," "us," or "our") collects, uses, stores, discloses, and protects information relating to PublishFlow, the Company's proprietary publishing project management software. PublishFlow is an internal business platform made available only to authorized workers of Write Stuff Enterprises, LLC and is not offered to the public.

This Privacy Policy applies to all employees, officers, managers, contractors, consultants, temporary workers, and other authorized personnel who are granted access to PublishFlow through their relationship with Write Stuff Enterprises, LLC.

In connection with the operation, administration, security, and support of PublishFlow, the Company may collect and process the following categories of information:

• Account and identity information, such as name, company email address, username, department, role, job title, and access permissions.
• Employment-related information relevant to system access, such as supervisor name, work status, and assigned responsibilities.
• Project and workflow information entered into PublishFlow, including schedules, tasks, milestones, notes, manuscript tracking details, approvals, comments, file metadata, and internal communications.
• Uploaded content and files, including documents, images, drafts, layouts, proofs, spreadsheets, and other materials used in publishing operations.
• Technical and usage information, such as log-in records, IP addresses, device/browser information, timestamps, feature usage, error logs, audit trails, and security event data.
• Support and administrative communications, including help requests, internal troubleshooting records, and reports relating to platform performance or misuse.

The Company may use information collected through PublishFlow to:

• Provide, maintain, and improve PublishFlow.
• Manage publishing projects, deadlines, workflows, approvals, assignments, and related internal business operations.
• Authenticate users and administer role-based access.
• Protect Company systems, data, intellectual property, and confidential information.
• Monitor usage, investigate suspected misconduct, enforce Company policies, and maintain records of business activity.
• Troubleshoot technical issues, perform maintenance, and improve security and functionality.
• Comply with legal obligations, internal governance requirements, or lawful requests.

PublishFlow is a Company-owned system intended solely for business use by authorized personnel. Because PublishFlow is an internal Company platform, users should have no expectation of personal privacy in information created, stored, transmitted, uploaded, reviewed, or maintained within the system, except as otherwise required by applicable law.

Limited incidental personal use, if permitted by Company policy, does not convert PublishFlow into a personal service and does not restrict the Company's right to access, review, preserve, or disclose system data for legitimate business, legal, security, or compliance reasons.

The Company may monitor, access, review, log, intercept, and disclose activity and content within PublishFlow to the extent permitted by law for legitimate business purposes, including system administration, quality control, project oversight, security, compliance, records management, investigation of misconduct, and protection of Company assets.

Access to PublishFlow data will be limited to authorized personnel with a legitimate business need, such as management, IT personnel, operations personnel, legal counsel, HR, or designated administrators.

The Company does not make PublishFlow available to the public and does not sell personal information collected through the platform.

The Company may disclose PublishFlow-related information:

• To authorized internal personnel on a need-to-know basis.
• To service providers, hosting providers, consultants, or technical vendors that support Company operations and are bound by confidentiality and appropriate data protection obligations.
• In connection with audits, investigations, insurance matters, or professional advisory services.
• When required or permitted by law, subpoena, court order, regulation, or other legal process.
• To protect the rights, property, systems, personnel, clients, or legal interests of the Company.

PublishFlow may contain confidential business records, client materials, manuscript files, drafts, budgets, schedules, editorial notes, design assets, contracts, and other proprietary information. Users must handle all data in PublishFlow in accordance with Company confidentiality, records management, and information security policies.

Information in PublishFlow may be retained for as long as necessary for active operations, business continuity, legal compliance, dispute resolution, records retention, audit purposes, security investigation, or protection of Company interests. The Company may delete, archive, or preserve data in accordance with internal policies and applicable law.

The Company uses reasonable administrative, technical, and organizational safeguards designed to protect PublishFlow data against unauthorized access, disclosure, alteration, loss, or misuse. However, no system can be guaranteed to be completely secure, and users are responsible for following Company security requirements, including password protection, device security, and safe handling of files.

Users of PublishFlow must:

• Use the platform only for authorized Company business.
• Protect login credentials and not share accounts or passwords.
• Maintain the confidentiality of project data and Company information.
• Upload and use only content that they are authorized to access, process, or share within the Company.
• Report suspected security incidents, unauthorized access, or data loss promptly.
• Comply with all Company policies relating to confidentiality, acceptable use, records management, and information security.

Personnel may request access to or correction of certain personal information maintained by the Company in accordance with applicable law and Company procedures. Questions about this Privacy Policy or privacy practices related to PublishFlow should be directed to Write Stuff Enterprises, LLC management or the designated internal administrator for PublishFlow.

The Company may modify this Privacy Policy at any time by posting an updated version internally or otherwise notifying authorized users. Continued use of PublishFlow after the effective date of a revised policy constitutes acknowledgment of the updated policy.

These Terms of Service ("Terms") govern access to and use of PublishFlow. By accessing or using PublishFlow, each user agrees to be bound by these Terms and all related Company policies. If a user does not agree to these Terms, that user must not access or use PublishFlow.

PublishFlow is proprietary software owned or controlled by Write Stuff Enterprises, LLC. Access is limited exclusively to individuals who are currently authorized by the Company due to their employment or work relationship with the Company. PublishFlow is not available for consumer use, public registration, outside organizations, or general commercial subscription.

The Company may approve access for specific contractors, consultants, or service providers only when such access is necessary for Company business and expressly authorized.

Subject to these Terms and Company policies, the Company grants each authorized user a limited, revocable, non-exclusive, non-transferable, non-sublicensable right to access and use PublishFlow solely for internal business purposes of Write Stuff Enterprises, LLC.

No ownership rights are transferred to any user. All rights not expressly granted are reserved by the Company.

Users are responsible for all activity occurring under their credentials. Users must maintain the confidentiality of login information, use strong passwords where required, and notify the Company immediately of any suspected unauthorized access, compromised credentials, or other security incident.

The Company may suspend, restrict, or terminate access credentials at any time, with or without notice, for security, operational, legal, or policy reasons.

Users may use PublishFlow only for lawful, authorized, and work-related purposes. Users must not:

• Permit access to any person who is not authorized by the Company.
• Share accounts, passwords, or authentication credentials.
• Copy, download, export, scrape, or disclose Company data except as required for authorized business purposes.
• Upload malicious code, disable security features, probe vulnerabilities, or interfere with system integrity or availability.
• Use PublishFlow to harass, discriminate against, defame, threaten, or otherwise engage in unlawful or inappropriate conduct.
• Circumvent permissions, workflows, audit controls, or records controls.
• Remove proprietary notices or misrepresent the source, ownership, or status of Company materials.
• Use PublishFlow in a manner that violates any employment agreement, confidentiality obligation, handbook rule, client obligation, or law.

PublishFlow, including its software, interface, workflows, design, text, databases, documentation, and underlying technology, is and remains the exclusive property of Write Stuff Enterprises, LLC and/or its licensors.

All content, records, project data, uploaded materials, metadata, comments, and work product created, stored, or processed in PublishFlow in connection with Company business are Company records to the fullest extent permitted by law and applicable agreement, except where third-party rights or specific contractual arrangements apply.

The Company may monitor and audit usage of PublishFlow and any data within it for legitimate business, legal, compliance, operational, and security purposes. Violations of these Terms or related Company policies may result in suspension of access, removal of content, disciplinary action up to and including termination of employment or engagement, civil action, and referral to law enforcement where appropriate.

The Company may modify, suspend, restrict, or discontinue any part of PublishFlow at any time without liability. Features, workflows, permissions, and integrations may change as business needs evolve.

The Company may also update these Terms from time to time by internal posting or notice. Continued use after an update constitutes acceptance of the revised Terms.

PublishFlow is provided on an internal, as-available, as-configured basis for Company business purposes. To the fullest extent permitted by law, the Company disclaims warranties of merchantability, fitness for a particular purpose, non-infringement, uninterrupted availability, accuracy, and error-free operation.

To the fullest extent permitted by law, Write Stuff Enterprises, LLC and its officers, managers, employees, affiliates, agents, and licensors will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising out of or relating to PublishFlow or a user's access to or use of PublishFlow.

Nothing in these Terms limits liability to the extent such limitation is prohibited by applicable law.

These Terms govern access to PublishFlow only and do not alter any at-will employment relationship, independent contractor relationship, handbook terms, confidentiality agreement, invention assignment agreement, or other separate agreement with the Company.

Access to PublishFlow automatically ends when a user's employment, contract, assignment, or authorization ends, or when the Company otherwise revokes access. Upon termination, the user must cease all use of PublishFlow and return or preserve Company data as directed.

These Terms and any dispute relating to PublishFlow shall be governed by the laws of the State of Florida, without regard to conflict of laws principles, unless another governing law is required by applicable law.
